Overview
The Challenge
A property valuation firm previously relied on manual communication and task assignment for client evaluations. To improve efficiency and consistency, a full automation workflow was built on Make.com using Google Gemini AI. The system now handles client intake, AI-based request analysis, team notifications, and task creation, reducing manual work and response time across departments. The entire automation runs in Make.com, integrating Airtable for detecting new property evaluation entries, Tools modules for cleaning and formatting input data, and Google Gemini AI for generating structured summaries outlining the problem, budget, and timeline. Text and JSON parsers convert AI responses into structured data, while a Router sends outputs simultaneously to Slack, Gmail, and ClickUp. An Iterator creates multiple ClickUp tasks when Gemini identifies several subtasks. With dynamic branching through Router based on AI response type or business rules, input validation, and data formatting for reliable AI results, the system delivers instant Slack summaries for internal visibility, automatically generated ClickUp tasks with full AI context, personalized Gmail follow-ups to clients, and centralized Airtable records of all processed requests.
